Applications for the Fall 2023 and/or Winter 2024 exchange program are now closed. The deadline to apply for Fall 2024 and/or Winter 2025 exchanges is: January 15th, 2024

How To Apply

Step 1: Find Out If You Are Eligible

Students may apply for the student exchange program if they meet the following eligibility requirements: 

  • 70% average in the most recent semester of study 
  • Completed 30 credit hours prior to going on exchange 
  • Not on academic probation at time of application or at anytime before departure 
  • Not completing an exchange in the students final semester of study at StFX 

Step 2: Investigate Your Study Options

  • Speak with former exchange participants to learn about the experience from a student perspective. 
  • Research the programs and courses offered by the university you are interested in. (In order to transfer credits from your exchange, the university you choose must offer courses that can be used towards your degree at StFX). 

Step 3: Make An Appointment

Speak to our Education Abroad Advisor about how participating in the student exchange program will fit into your studies at StFX. 

Step 4: Prepare Your Application Documents

The student exchange program application consists of: 

Completed Application Form (Including Letter of Motivation and Preliminary Study Plan) 

Two References - Submitted directly by the referees to @email. (One Academic and One Academic or Professional) 

Professional Resume 

Please submit application form and professional resume to the Education Abroad Advisor as one PDF document. 

Step 5: Fill Out Your Preliminary Study Plan (PSP) 

The PSP is a document that is designed to get you thinking about what courses you will be taking while on exchange. As part of the application process, you are required to submit a PSP only for your preferred partner institution. If that partner is not available, or you change your selection, you must complete a new PSP.

Step 6: Apply

The application deadline for all exchange placements is January 15th. 

Step 7: Post Application Selection Interview

After the application period is complete, applicants will be invited to participate in a short interview where they will be asked questions related to their commitment to undertaking an exchange, and their suitability for the program. More information will be provided on this after the application period is complete.

Preparing to go abroad

STEP 1: ACQUIRE YOUR VISA OR STUDY PERMIT   

Most countries place conditions on travellers, whether the travel is for recreation, study, or work. Requirements and application processes for visas or study permits are different for each country and how long the student expects to study there. 

Once the student has received the acceptance letter from the exchange partner university, the next step is to acquire the proper visa related documents. For security reasons, some countries are now requiring 'biometric' scans as part of the visa application process. This makes the visa application process more complicated as it typically requires travel to an embassy or consulate (generally located in Ottawa, Toronto, or Montreal). For this reason, it is wise to begin the visa application process as early as possible. 

The Canadian Department of Foreign Affairs and International Trade website lists the embassies and high commissions in Canada. Visa applications usually are processed through their consular offices and often require the applications to be submitted in person. 

STEP 2: ARRANGE YOUR ACCOMMODATIONS 

Accommodations need to be arranged with the help of the host university international office as soon as the student has received confirmation that they will be studying at the host institution. 

STEP 3: PURCHASE HEALTH INSURANCE 

Exchange students must purchase health insurance for the duration of their time abroad. Existing family insurance plans are acceptable if they provide international coverage for the full duration of the study abroad period.   

STEP 4: MAKE A FINANCIAL PLAN 

Students should research financial practices in the country where they will be studying. Find out the ways in which credit cards and debit cards are used for store purchases and the process for accessing cash via bank machines. In some countries, students may have to open a bank account to ensure easy access to money. If applicable, students must make formal arrangements for someone to care of student loan requirements. Renewable scholarships from StFX are recognized by StFX university only for one semester exchanges. 

STEP 5: CONNECT WITH THE EDUCATION ABROAD ADVISOR 

Before finalizing course registrations abroad, students need to submit the course descriptions to the Education Abroad Advisor at StFX to receive permission to transfer course credits to their StFX degree.  It is the student's responsibility to communicate this information to the Education Abroad Advisor via email within the first two weeks upon arrival. 

The regulations and grading schemes of the exchange university apply to visiting exchange students in the same way as for local students.  Exchange students with academic concerns should discuss these with a representative of the International Exchange Office at the host university.  Students should make an effort to clearly understand the grading schemes of the courses taken and should not assume that StFX can influence course outcomes at exchange universities. 

STEP 6: ATTEND THE PRE-DEPARTURE SESSIONS 

Students who choose to participate in an exchange will be required to complete pre-departure workshops and attend one in-person pre-departure orientation before departing for their destinations. These sessions will cover: 

1. Logistical Planning and Preparation 

2. Risk Management and Safety Abroad 

3. Intercultural Competencies 

In addition to these sessions, students should take the time to research their destination. Well informed international travellers reduce potential risk and increase the likelihood of enjoying the exchange experience fully. 

Returning home 

Students who have participated in an exchange will be required to attend a de-briefing session upon their arrival back in Canada. The de-briefing session will cover the topics of reverse culture shock, adapting to life at home, and how to best maximize international experiences. There will also be an opportunity to participate in the annual Education Abroad Fair where students can connect and share experiences with other exchange program participants.
